securely in line with UK GDPR, NHS Information Governance, and the Data Security and Protection
Toolkit.

A.C. Radio Cabs Ltd (“AC”) takes privacy and data protection seriously. We understand the
importance of protecting personal data belonging to NHS staff, patients, and members of the public
who use our transport services. AC complies fully with the UK General Data Protection Regulation
(UK GDPR), the Data Protection Act 2018, and the MSE Information Governance and Management
Policy (MSEPO21164).

We collect only the information necessary to provide safe and efficient transport, such as your
name, contact details, journey information, and any relevant accessibility requirements. For NHS-
related bookings, limited staff or patient details may be shared securely with authorised NHS
departments to manage transport services.

All personal data is processed using Ghost, our secure cloud-based system hosted on encrypted UK
servers certified to ISO 27001 standards. Data is encrypted in transit and at rest, access is restricted
to authorised staff using multi-factor authentication, and audit trails record all activity. We maintain
full system resilience through UK-based data centres with live backup and monitoring.

We only share personal data when necessary, for example, with NHS partners, local authorities, or
approved technology and insurance providers. We never sell or share data for marketing. All sharing
follows NHS Information Governance requirements and is supported by formal data-sharing agreements.

AC retains data only for as long as necessary to meet legal, contractual, and NHS requirements.
Journey and booking records are kept for seven years, while complaints and incident reports follow
NHS retention guidance. Data is securely deleted or anonymised after this period.

All AC staff and subcontracted drivers receive annual training on data protection, confidentiality, and
safeguarding, including awareness of child sexual exploitation and the protection of vulnerable
adults. Our Data Protection Lead monitors compliance, investigates any potential breaches, and
ensures alignment with the NHS DSPT.
